Rental Terms, Cancellation & Liability Policy

By confirming the rental of party games, supplies, or decor, you acknowledge and agree to the following terms and conditions.
Please read carefully before booking.

1. Deposit & Payment

Yard Games, Party Supplies and Party Décor Rental: 

  • Payment of the total rental fee is required at the time of booking to secure your reservation.

  • A refundable damage deposit of $50 will be charged at the time of booking. The deposit will be returned within 5 business days if no damage or loss occurs. 


Ace Golf Mobile Labs – Golf Simulator Rental: 

  • To reserve the golf simulator, 50% of the rental fee will be collected upon booking. 

  • The remaining balance is due upon our arrival, before your session begins. The reservation will not be honored until full payment has been received.

2. Rental Terms

Yard Games and Party Décor Rental: 

  • Rental Period: Equipment is rented for the specified event date. Extended rental periods must be arranged and paid for in advance.

  • Pre/Post Inventory: An inventory will be conducted by the delivery team member at the time of delivery and upon pickup to ensure all items are in good condition and all parts are returned. The renter and delivery team member will sign off the pre and post inventory.

  • Delivery and Set Up: RMPC will deliver and pick up all equipment at the requested time. 

  • Damage & Loss: The client is responsible for all rented items from time of delivery to time of pickup. Any damaged, missing, or broken items will be charged to the renter at full replacement value.


Ace Golf Mobile Labs – Golf Simulator Rental: 

  • Rental Period: Equipment is rented for the requested event date only and for the specified number of hours. Extended rental periods may be requested at the time of service if time permits and are paid for prior to the extended time. 

  • Rental Equipment Included: Golf simulator, safety barriers, left and right-handed adult clubs, golf balls, tees, and green/fairway. 

  • Set Up/Tear Down: Set up and tear down require approximately 75 minutes pre and post the rental period and is not included in the actual play time.

  • Attendant: An attendant from Ace Golf Mobile Labs will be present throughout the rental period to ensure all equipment is working and coordinating play preferences with the renter. The attendant will be responsible for setting up all equipment, management of all general practice play, coordinating contests and changing course options, and tear down. 

  • Damage: The Client and their guests are expected to conduct themselves in a safe and respectful manner. Disorderly, disruptive, or unsafe conduct may result in immediate termination of the booking without a refund. The Client shall be responsible for any damage to the simulator, equipment, or rental location caused by the Client, Client’s guests, or invitees while using the simulator. The RMPC and Ace Golf Mobile Labs reserves the right to charge the Client for the reasonable cost of repair or replacement of damaged simulator equipment due to careless behavior. 

  • Release of Liability: Use of the golf simulator has inherent risks especially when used by amateur golfers or those with minimal or no experience. At times, golf swings can result in balls flying in any direction. Ace Golf Mobile Labs provides physical barriers to prevent spectators from walking into an active swing but attendees must also be aware of balls that can stray from the course. RMPC and Ace Golf Mobile Labs, its owners, and staff are not liable for personal injury, property damage, or loss sustained during use of the simulator or while at the rental location. 

  • Weather / Outdoor Use: Client assumes all risk associated with outdoor use. Equipment must be brought inside or covered in the event of rain or severe weather, cutting short the rental time. No refunds will be issued in the event of shortened rental time due to inclement weather, however; client will be offered a 25% discount on a future rental if weather causes rental time to be decreased by more than half the expected rental time. 

3. Cancellations

We understand that plans can change. Here is how cancellations are handled:

 

More than 72 hours before your event

You will receive a full refund of all amounts paid
 

24 to 72 hours before your event

You will receive a 50% refund of amounts paid.
 

Less than 24 hours before your event / No-Show

No refund will be issued. All payments are forfeited.

4. Rescheduling

  • You may reschedule your reservation at no charge, provided the request is made at least 72 hours before your scheduled start time.

  • Rescheduling requests made less than 72 hours in advance will be treated as a cancellation under the under-24-hour policy above (Section 3).

5. Late Arrivals

  • Your rental period begins at the scheduled start time, regardless of when you or your guests arrive or begin playing. The set-up time does not count toward your rental time.

  • Late host or guest arrivals will not extend your session and do not qualify for a refund, credit, or adjusted rate.

6. Cancellations by Rocky Mountain Party Collective

We reserve the right to cancel or reschedule your reservation in the event of equipment malfunction, hazardous weather, road conditions, or other circumstances beyond our control

 

If we cancel your reservation:

  • You will receive a full refund of all amounts paid, including the deposit
    OR

  • You may choose to apply your payment as a credit toward a future reservation.

7. Acknowledgment

By confirming a reservation with Ace Golf Mobile Labs, you acknowledge that you have read, understood, and agreed to all terms outlined in this policy. If you have any questions before booking, please don’t hesitate to reach out. We’re happy to help!
